You Need to Plan for the Worst and Hope for the Best

Business continuity used to be as simple as making sure that you have a contingency for every analogue system that your business uses in the course of doing business. As the workplace has gotten more digital, however, business continuity has had to take into account the immense amount of stress one failing system can have over the other digital systems that your business relies on. This shift makes it imperative that you plan ahead. 

The strategy for planning is about the same. You need to do a complete assessment of who uses what, how those particular tasks will be affected by sustained downtime and find solutions to mitigate the consequences of them. The difference is that, unlike traditional workflows, digital systems are there to enhance efficiency and are typically deployed throughout an organization, so if one sees an outage, it will likely touch more of the business. 

That’s exactly why a backup and disaster recovery platform is a must-have when setting up your business’ continuity plan. Not only can you control which files are backed up, you can control how they are backed up, where they are stored, and in doing so, will be adding a significant contingency plan if a situation arises that takes down a core piece of your IT infrastructure.

The Biggest Challenge in Video Conferencing

Unfortunately, there’s a big disadvantage to video conferencing and that’s the inherent lag that so commonly takes place during meetings. While this may not sound like much, it matters a lot.

Based on the length of time that we’ve spent communicating face-to-face and communicating remotely, the latter is barely a blip on the timeline. We’ve had telephony, the first form of voice-based telecommunications, for about 100 years. Conversations, on the other hand, have taken place for 70,000 (give or take). As our brains developed, they adjusted to make these conversations as efficient as possible.

This meant that, while we wouldn’t talk over one another by default, we would leave as little pause after the other person finished speaking to respond as possible. We’ve all experienced what an awkward silence is like. This precedent is what makes that moment of quiet so uncomfortable.

Video conferencing isn’t instantaneous, which makes these pauses an inescapable reality. Even if they are miniscule delays, conversations can still devolve into the pauses and interruptions that so many workplace jokes have capitalized on.

Despite this, however, implementing remote conferencing still offers far more benefits than drawbacks. As your team adjusts, their productivity and collaborative success will rise.

Prioritize Concision and Clarity

While communication is vital to your business, it can become detrimental to your operations if it is abused. Think about the meeting that goes on endlessly with only a little being accomplished. This is never a good situation, and it’s only all the worse when the team you’re working with is a remote one.

Make sure your team is using its technology appropriately and keeping things efficient and streamlined. Adopting a company shorthand can help move communications along—a quick label tossed in the message can give it a little more context. For instance, adding NRN to a message for “No Response Needed” lets the person getting your message know that no further action has to be taken (provided that everyone understands what NRN means). Figure out what works best for you and your operations and make use of that.

Use the Right Tool

With as many communications as a business handles it only makes sense that there are so many methods to communicate with. Depending on the message, one form of communication may be the better option than another. Addressing a group via an email is much more effective than using an instant message, while the opposite may be the case when addressing an individual. This stands true for all your communication methods, from virtual meetings and other means of reaching out to your remote coworkers.

Test and Retest

Once you’ve decided upon a communication tool, don’t assume that there isn’t a better way to use it, or that it will be the best for your business in perpetuity.

So, instead of assuming that what you’ve selected is the be-all-end-all for your business, evaluate how your processes are working. If you find any inefficiencies, determine what caused them and figure out what needs to be done to eliminate them. Make your adjustments, substitutions, additions, and/or eliminations, and try it again. It may be that your employees just need more direction on what is involved in the process. Once you’ve made your changes, test it again, and repeat until things improve or a better option presents itself.
